Office Administrator/Relief Receptionist

 

Description: A vacancy has arisen for an Office Administrator,/Relief Receptionist based at our offices in Burgess Hill.

You will be responsible for providing a wide range of administration support to the Head of Operations and providing reception cover as and when required at short notice, including lunchtime, holidays and absences.

 

Key responsibilities:

To provide a range of administration support to the Head of Operations & HR and Office Manager, for example but not limited to;

  • Provide administration support for the management of the company vehicle fleet including mileage checks, fuel receipt reconciliation, van inspections.
  • Track and arrange training to ensure H&S compliance; first aid, fire marshal and FLT refresher, manual handling and other general training etc.
  • To collate and enter all staff training onto the training database ensuring both internal and external training is captured, prepare analysis for management meetings, audits and questionnaires.
  • Record and process accident and near miss reports, prepare analysis for management meetings, audits and questionnaires.
  • Report and monitor department KPIs.
  • Active involvement in the participation of projects, scoping, preparing data and collating results and feedback.
  • Other general ad hoc administrative duties, including, scanning, filing, data entry, as and when required.
  • Provide cover for the reception, when necessary

  • Excellent communication skills.
  • Demonstrable adaptation to changes in working practices and environment.
  • Good organisational ability
  • Possess a working knowledge of company procedures.
  • Working knowledge of relevant company IT systems including MS office

Qualifications and experience:

  • GCSE in Maths and English or previous experience in a similar role.
